01Who it's for

Is this service right for you?

It suits organisations that have built up licences one purchase at a time and want one supplier to track them all.

Built for

  • Businesses with 5 or more staff juggling separate renewals, invoices and portals for each software vendor
  • Organisations paying for licences nobody uses, or unsure which licence each person actually needs
  • Finance and operations managers who want one supplier and fewer surprise renewals
  • Government and regulated buyers who want security software supplied and supported by a certified, registered supplier

You probably need it if…

  • Renewals arrive without warning or auto-renew at the wrong size
  • Seats are still billed for people who left months ago
  • Security features you pay for were never switched on

02What's included

What you get

Buy & renew

Quotes for new licences

Tell us the product, number of seats and term, and we prepare a written quote. We buy through deal registration or direct, to suit your requirements.

Renewal management

We track renewal dates for the licences we supply and contact you ahead of time with current usage, any changes we recommend and a quote, so licences are less likely to lapse or auto-renew at the wrong size.

True-ups and seat changes

When your headcount changes, we add seats promptly and reduce them where the term allows, reconcile what you are using against what you pay for and handle the vendor paperwork, so your bill matches reality.

Optimise & consolidate

Licence optimisation

We review which licence each person has against what they actually use, and recommend changes that reduce cost without removing the security features your organisation needs.

One supplier

Licences from multiple vendors can be managed through one supplier, alongside your support services, instead of a separate contact, portal and renewal date for every product.

Set up & support

Setup and support

Licences we supply can be deployed, configured and supported by our team, so the software is switched on and set up securely rather than just paid for.

Vendors we supply

03In detail

Software licensing, in depth

How do licences connect to our other services?

We supply licences for Microsoft, SentinelOne, Check Point, WatchGuard, Tenable, NinjaOne, KnowBe4 and Phished. Microsoft subscriptions sit alongside our Microsoft 365 service, and SentinelOne alongside endpoint security. Every vendor, the products we supply and the services that go with them are listed on our partners and licensing page, where you can request a quote.

What is the difference between deal registration and buying direct?

There are two common ways a reseller buys licences on your behalf.

RouteHow it worksWhen it helps
Deal registrationThe reseller registers your opportunity with the vendor before quotingLarger or new purchases where the vendor’s program offers project pricing or support
DirectWe buy at the vendor’s standard pricing without registering the opportunityRenewals, smaller orders and products without a registration program

We buy through deal registration or direct, to suit your requirements, and explain the route when we quote. You don’t need to manage this yourself.

Should you choose monthly or annual licence terms?

Some subscriptions, including Microsoft 365 on an annual term through Microsoft’s Cloud Solution Provider (CSP) program, let you add seats at any time but generally only reduce them at renewal. Microsoft explains the rules for these subscriptions, including the short window for reducing seats after a purchase or renewal, in its new commerce licence-based overview. We help you pick monthly or annual terms for each product so you aren’t locked into seats you can’t drop.

What affects the cost of a licence quote?

Licence prices are set largely by each vendor and change over time, so we quote each order or renewal individually. Your cost depends on:

  • the vendor, product and edition
  • the number of seats and the term length
  • whether deal registration applies
  • whether you also want us to deploy and support the product

Pair licences with new equipment from our IT hardware procurement service and both can go on the same order.

04The process

How it works

  1. Review

We list your current licences, renewal dates, seat counts and costs, and identify waste and gaps.

  2. Quote

You receive a quote for new licences or renewals, with any recommended changes explained.

  3. Order and provision

We place the order through the right channel for each vendor and provision the licences.

  4. Track and renew

We monitor usage and renewal dates and contact you ahead of each renewal with a recommendation.

05FAQ

Software licensing, answered.

Ask a specialist
What kinds of software can you supply licences for?

The vendors we supply cover productivity and collaboration, endpoint protection, firewall security subscriptions, vulnerability management, security awareness training and IT management. Because we also deploy and support these products, we can advise on the right edition for each person and configure it securely, rather than simply passing on an order. The vendor list is above, and in full on our partners page.

What is deal registration?

Deal registration is a process some vendors run where a reseller registers a specific customer opportunity with the vendor before quoting. Depending on the vendor's program, it can give the reseller access to project pricing or support for that deal. Not every vendor or product uses it. We buy through deal registration or direct, to suit your requirements.

What is a licence true-up?

A true-up is a reconciliation between the number of licences you are paying for and the number you are actually using. It usually happens at renewal or on a set date in the agreement. If you have added staff, you pay for the extra seats. If you have reduced numbers, a true-up is the chance to scale back, where the agreement allows it.

Can we move our existing licences to you?

In most cases, yes. Many subscriptions can move to a new supplier at renewal, and some can move mid-term, depending on the vendor and the agreement. We review your current licences, renewal dates and contract terms, then plan the move to avoid a gap in cover. It is also a good time to remove unused seats and check each person has the right edition.

Will buying licences from you cost more than buying direct?

Not necessarily. Licence prices are often similar across suppliers, and sometimes deal registration or bundling can give you a better price. The bigger savings usually come from removing unused licences and choosing the right edition for each person. We show you the price, the recommended changes and why, so you can compare like with like.
