Integrations & Automation

Stop copying the same data between systems by hand. We build the connections and workflows that do it for you, and give each one only the access it needs.

01Who it's for

Is this service right for you?

It suits organisations where staff move the same data between systems by hand. Every integration is a new set of keys to your systems, so we treat each one as a security decision, not just a convenience.

Built for

  • Businesses where staff copy the same data between a CRM, accounting software and spreadsheets every day
  • Teams that want workflow automation but are worried about giving a tool access to every system
  • Organisations already using n8n or similar tools that need them reviewed, secured or brought under control
  • Government and regulated teams that need automation hosted in Australia with clear records of what it touches

You probably need it if…

  • Staff copy the same information between systems every day
  • Leads, invoices or requests get missed because they sit in an inbox
  • Reports are built by hand from several spreadsheets
  • Your systems each hold a slightly different version of the same customer

02What's included

What you get

Connect

API integrations

We connect your systems through their official application programming interfaces (APIs), so records such as customers, invoices and jobs stay in sync. Each connection uses the least access it needs, and credentials are stored securely.

CRM and accounting connections

Two-way links between your customer relationship management (CRM) platform, accounting software, forms and websites, so leads, quotes, invoices and payments flow without manual re-entry. We scope each connection first: the vendor must support integration, through an API your plan or licence includes, and we confirm what data it can share before we quote.

Microsoft 365 integrations

Automations that use Outlook, Teams, SharePoint and Excel through Microsoft Graph with properly scoped app permissions in Microsoft Entra ID. Typical uses include routing approvals, filing documents and posting alerts to Teams.

Automate

Workflow automation

We design and build workflows for repetitive processes such as onboarding, lead handling and reporting, in n8n, Microsoft Power Automate, Make.com or a self-hosted platform. n8n can run on infrastructure you control, and we secure whichever option you choose.

Secure & monitor

Secure automation platform set-up

For self-hosted n8n we harden the server, put it behind single sign-on or multi-factor authentication (MFA), encrypt stored credentials, restrict network access and keep it patched. Every workflow has an owner and documentation.

Monitoring and error handling

Workflows report failures instead of failing silently. We set up alerts, retries and logs, so a broken connection is noticed and fixed early, not after invoices or leads go missing.

03In detail

Integrations & automation, in depth

What are integrations and automation?

Integrations connect two or more systems so data moves between them automatically. Automation goes a step further and handles a whole process, such as creating a client in your CRM, raising the first invoice and sending a welcome email, without anyone re-keying the details.

What systems can we connect?

Alongside CRM and accounting platforms, most projects touch one or more of these:

  • Microsoft 365, using only the Graph permissions each workflow needs. If your tenant itself needs work first, our Microsoft 365 team can help.
  • Websites and forms, so enquiries land in the right system with the right owner.
  • Industry systems with an API, such as practice management or job management platforms.

Where off-the-shelf connections aren’t enough, we can build a small service or portal as part of a custom software project.

Where should n8n run?

We use n8n for work such as staff onboarding, lead routing, document filing, scheduled reports and approval chains, and we support both of its hosting options (see the n8n hosting documentation). n8n Cloud is run by n8n, and its data is stored in the European Union, outside Australia. Choose it when you want less to manage and the data involved is lower risk.

Self-host when you need control over where data and credentials live, such as for data residency or sensitive client information. We can work with whatever arrangement suits you: we host and manage it for you, we manage it on infrastructure you own, or your team hosts it and we support them. We confirm the right platform licence for the arrangement you choose. Self-hosting only helps if the server is secure. Beyond hardening and patching it, we protect n8n’s credential encryption key and keep it out of backups stored alongside the database.

How do we keep integrations secure?

An automation platform often holds credentials to your CRM, accounting system, mailboxes and file storage at the same time. If it is compromised, an attacker gets all of them. We reduce that risk in a few concrete ways:

  • Least privilege. Each connection gets only the permissions it needs, for example read-only access to one mailbox rather than the whole tenant, using Exchange Online application access controls.
  • Protected credentials. Keys are encrypted, kept out of workflow steps and rotated when people leave.
  • Ownership. Every workflow has a named owner in your business and documentation your team can follow.
  • Logging and alerts. Failures and unusual activity are recorded and raised, not hidden.

04The process

How it works

  1. Map the process

We walk through the manual process with the people who do it, list every system involved and identify what data moves where.

  2. Design and access review

We design the integration or workflow and agree exactly which permissions each connection needs, where it runs and where data is stored.

  3. Build and test

We build in a test environment with sample data, test failure cases as well as the normal path, then run it alongside the manual process.

  4. Go live and hand over

We switch over, hand over documentation and confirm who owns each workflow. If you want us to host or monitor it, that is quoted by scope.

Useful for your auditor, board or procurement team. The mapping shows where this service supports each framework. It doesn't replace a formal assessment.

06Pricing

Pricing and how to start

Pricing

Quoted for your environment

What changes the price

The price depends on the number of systems, the quality of their APIs, how complex the business rules are and whether we host and monitor the automation for you.

  • Process mapping session with your team
  • Integration or workflow design with an access review
  • Build, testing and documentation
  • Error alerts and handover to your team

Not included: AI-driven workflows that read, classify or draft content. Those sit under our AI automation service, with the same security controls.

Ask a specialist
What is n8n and why use it for automation?

n8n is a workflow automation platform that connects apps and services through visual workflows, with the option to add code where needed. Unlike many automation tools, it can be self-hosted, so workflows and credentials can stay on infrastructure you control. It also runs as a managed cloud service. We often recommend it because it gives you that choice, which suits security-conscious organisations.

Which automation platform should we use?

It depends on where your data lives and what you already license. Power Automate suits organisations built around Microsoft 365, and many Microsoft 365 plans include its standard connectors. Make.com is a hosted service that is quick to start with. n8n can be self-hosted, so workflows and credentials stay on infrastructure you control. We recommend one after mapping the process and the data it touches.

Can you take over automations someone else built?

Yes. We start by listing each workflow, what it connects to and whose credentials it uses. We look for workflows nobody owns, connections that run on a staff member's personal account and API keys with far more access than the workflow needs. We fix the riskiest first, document the rest and agree an owner for each workflow in your business.

Can you connect our CRM to our accounting software?

Usually, yes. Most modern CRM and accounting platforms offer APIs that let records like contacts, quotes, invoices and payments sync between them. We first check what each platform's API allows, then design a sync that avoids duplicate records and handles errors. If a platform has no suitable API, we will tell you before you commit to a project.

What is the difference between integrations and AI automation?

Integrations and workflow automation follow fixed rules: when this happens, do that. AI automation adds a language model that can read, classify or draft content, such as sorting incoming emails or summarising documents. Many projects use both. We build rule-based workflows under this service. AI-driven workflows belong to our AI automation service, which uses models hosted in a cloud environment you control.

What happens when an integration breaks?

Integrations break when a system changes its API, a password expires or unexpected data arrives. We build workflows to retry where safe, record errors and alert the right person rather than failing silently. If we monitor your automations, we investigate and fix failures within the response targets agreed in writing, and you receive a clear note of what went wrong and what changed.
